Organisations Report in PICSWeb

The Organisations Report produces a list of Organisations that meet the specified criteria.

Report Options

The following customisation options are available:

  • Report Type – This controls which date is used in the organisation record to determine whether that organisation will be included.

    • Choosing Created between dates will include any organisations whose Created date falls within the date range.

    • Choosing Latest Status Changed between dates will include any organisations which were changed to their most recent status within the date range.

    • Choosing Modified between dates will include any organisations which were edited within the date range

    • Choosing All will include all organisations.

  • Created From and To – Here you can specify the date range that will determine which organisations are included in the report. You can either choose a Fixed Date and choose the relevant dates from the calendar date selector, or choose one of the relative values such as TodayStart of WeekStart of Month or others. If you choose a relative value, it is possible to add a positive or negative Offset value, which will adjust the date by the specified number of weeks. For example, choosing End of Week with a +1 Weeks Offset value will run the report from the end of the next week.

  • Roles – Here you can restrict the report to organisations with specific roles. Choosing a role from the drop-down menu will add it to the field. You can add multiple roles to the field and remove any added ones by selecting the X icon.

  • Has Current Learners – Here you can restrict the report to organisations that either do or do not have learners currently on placement at the organisation.

  • Tags – Here you can restrict the report to organisations with specific Tags. Choosing a tag from the drop-down menu will add it to the field. You can add multiple tags to the field and remove any added ones by selecting the X icon. The following tag options are available:

    • Any – This will restrict the report to organisations that have at least one of the specified tags.

    • All – This will restrict the report to organisations that have every specified tag.

    • None – This will restrict the report to organisations that do not have any of the specified tags.

  • Sites – Here you can restrict the report to organisations linked to specific Sites. You can add multiple sites to the field and remove any added ones by selecting the X icon.

  • Officer – Here you can restrict the report to organisations linked to a specific officer. Different officer Roles are available to choose from. Once you have chosen, search the drop-down menu for an Officer Record to specify.

  • Organisation – Here you can restrict the report to organisations linked to another specific organisation. Different organisation Roles are available to choose from. Once you have chosen, search the drop-down menu for an Organisation Record to specify.

  • Has Head Office

  • Has Branches

  • Postcodes – Here you can restrict the report to organisations with a specific postcode. The following options are available:

    • Any of – This will restrict the report to organisations that share at least some characters with the entered postcode.

    • None of – This will restrict the report to organisations that share no characters with the entered postcode.

    • Starts With – This will restrict the report to organisations with a postcode that starts with the entered characters.

    • Is Blank – This will restrict the report to organisations that have no postcode entered.

    • Not Blank – This will restrict the report to organisations that have any postcode entered.

  • Has File Type – Here you can restrict the report to organisations with Files of certain File Types attached. Choosing a type from the drop-down menu will add it to the field. You can add multiple types to the field and remove any added ones by selecting the X icon. The following type options are available:

    • Any – This will restrict the report to organisations that have at least one of the specified file types.

    • All – This will restrict the report to organisations that have every specified file type.

    • None – This will restrict the report to organisations that do not have any of the specified file types.

  • Status – Here you can restrict the report to organisations with specific statuses. You can add multiple statuses to the field and remove any added ones by selecting the X icon.

  • System Status – Here you can restrict the report to organisations with specific system statuses set. You can add multiple statuses to the field and remove any added ones by selecting the X icon. If no status is added to the field, only organisations with the system status Live will be included.

Report Output

The organisations report consists of a single sheet listing the matching organisation records. Along with core organisation details, any Optional Fields chosen when building the report will be included as additional columns.
