Learner Components Report in PICSWeb

The Learner Components Report produces a list of Delivery Model Components linked to learners that meet the specified criteria.

Report Options

The following customisation options are available:

  • Components Report Type – This controls which date is used in the component record to determine whether that component will be included.

    • Choosing Start Between Dates will include any components whose Start Date falls within the date range.

    • Choosing Due Between Dates will include any components whose Due Date falls within the date range.

    • Choosing Done Between Dates will include any components whose Done Date falls within the date range.

    • Choosing All will include all components.

  • Components From and To – Here you can specify the date range that will determine which components are included in the report. You can either choose a Fixed Date and choose the relevant dates from the calendar date selector, or choose one of the relative values such as TodayStart of WeekStart of Month or others. If you choose a relative value, it is possible to add a positive or negative Offset value, which will adjust the date by the specified number of weeks. For example, choosing End of Week with a +1 Weeks Offset value will run the report from the end of the next week.

  • Learners Report Type – This controls which date is used in the learner record to determine whether that learner will be included.

    • Choosing In Learning Between Dates will include any learners whose programme overlaps with the date range.

    • Choosing Starters Between Dates will include any learners whose Start Date falls within the date range.

    • Choosing Leavers Between Dates will include any learners whose Actual End Date falls within the date range.

    • Choosing Created Between Dates will include any learners whose Created Date falls within the date range.

    • Choosing Expected End Between Dates will include any learners whose Expected End Date falls within the date range.

    • Choosing Leavers or Expected End Between Dates will include any learners whose Actual End Date or Expected End Date falls within the date range.

    • Choosing All will include all learners.

  • Learners From and To – Here you can specify the date range that will determine which learners are included in the report. You can either choose a Fixed Date and choose the relevant dates from the calendar date selector, or choose one of the relative values such as TodayStart of WeekStart of Month or others.   • Episode Status – Here you can restrict the report to learners with a specific Episode Status. This can either be All, Leavers, In Learning or Yet to Start.

  • Learner Status – Here you can restrict the report to learners with specific Statuses. These statuses are set up by your PICSWeb administrators. You can add multiple statuses to the field and remove any added ones by selecting the X icon

  • Tags – Here you can restrict the report to learners with specific Tags. Choosing a tag from the drop-down menu will add it to the field. You can add multiple tags to the field and remove any added ones by selecting the X icon. The following tag options are available:

    • Any – This will restrict the report to learners that have at least one of the specified tags.

    • All – This will restrict the report to learners that have every specified tag.

    • None – This will restrict the report to learners that do not have any of the specified tags.

  • Delivery Target – Here you can restrict the report to learners on a specific Delivery Target. Choosing a target from the drop-down menu will add it to the field. You can add multiple targets to the field and remove any added ones by selecting the X icon. The following target options are available:

    • Any Of – This will restrict the report to learners that have at least one of the specified targets linked.

    • None Of – This will restrict the report to learners that do not have any of the specified targets linked.

    • Is Blank – This will restrict the report to learners with no target linked.

    • Not Blank – This will restrict the report to learners with any target linked.

  • Delivery Model – Here you can restrict the report to learners on a specific Delivery Model. Choosing a model from the drop-down menu will add it to the field. You can add multiple models to the field and remove any added ones by selecting the X icon. The following model options are available:

    • Any Of – This will restrict the report to learners that have at least one of the specified models linked.

    • None Of – This will restrict the report to learners that do not have any of the specified models linked.

    • Is Blank – This will restrict the report to learners with no model linked.

    • Not Blank – This will restrict the report to learners with any model linked.

  • Sites – Here you can restrict the report to learners linked to specific Sites. You can add multiple sites to the field and remove any added ones by selecting the X icon.

  • Qualification Plans – Here you can restrict the report to learners with specific Qualification Plans linked. Choosing a plan from the drop-down menu will add it to the field. You can add multiple plans to the field and remove any added ones by selecting the X icon. The following plan options are available:

    • Any Of – This will restrict the report to learners that have at least one of the specified plans linked.

    • None Of – This will restrict the report to learners that do not have any of the specified plans linked.

    • Is Blank – This will restrict the report to learners with no plans linked.

    • Not Blank – This will restrict the report to learners with at least one plan linked.

  • Contracts – Here you can restrict the report to claim learners linked to specific Contracts. Choosing a contract from the drop-down menu will add it to the field. You can add multiple contracts to the field and remove any added ones by selecting the X icon. The following contract options are available:

    • Any Of – This will restrict the report to learners that have at least one of the specified contracts linked.

    • None Of – This will restrict the report to learners that do not have any of the specified contracts linked.

    • Is Blank – This will restrict the report to learners with no contracts linked.

    • Not Blank – This will restrict the report to learners with at least one contract linked.

  • Programme – Here you can restrict the report to learners enrolled on specific programmes. You can add multiple programmes to the field and remove any added ones by selecting the X icon.

  • Funding Organisation – Here you can restrict the report to claims for learners funded by specific funding organisations. You can add multiple funding organisations to the field and remove any added ones by selecting the X icon.

  • Officer – Here you can restrict the report to learners linked to a specific Officer via a specific Relationship.

  • Officer Tags – Here you can restrict the report to learners linked to Officers with specific Tags.

  • Organisation – Here you can restrict the report to learners linked to a specific Organisation via a specific Relationship.

  • Past Expected End – If this is ticked, only learners that have passed their Expected End Date will be included.

  • Break-in-Learning – Here you can choose whether to include learners on a Break in Learning. You can choose whether to include All Learners, Exclude those on a break in learning, or restrict the report to Only learners on a break in learning. This can be applied either to learners currently on a break or learners who have had a break recorded at some point during their programme.

  • Provider End Code – Here you can restrict the report to learners with a specific Provider End Code recorded in their PICS Episode End tab. Choosing a code from the drop-down menu will add it to the field. You can add multiple codes to the field and remove any added ones by selecting the X icon. The following options are available:

    • Any of – This will restrict the report to learners that have at least one of the specified codes.

    • None of – This will restrict the report to learners that do not have any of the specified codes.

    • Is Blank – This will restrict the report to learners that have no code entered.

    • Not Blank – This will restrict the report to learners that have any code entered.

  • Provider Destination – Here you can restrict the report to learners with a specific Provider Destination code recorded in their PICS Episode End tab. Choosing a code from the drop-down menu will add it to the field. You can add multiple codes to the field and remove any added ones by selecting the X icon. The following options are available:

    • Any of – This will restrict the report to learners that have at least one of the specified codes.

    • None of – This will restrict the report to learners that do not have any of the specified codes.

    • Is Blank – This will restrict the report to learners that have no code entered.

    • Not Blank – This will restrict the report to learners that have any code entered.

  • System Status – Here you can restrict the report to learners with specific system statuses set. You can add multiple statuses to the field and remove any added ones by selecting the X icon. If no status is added to the field, only learners with the system status Live will be included.

Report Output

The learner components report consists of a single sheet listing the matching components. Along with core learner details, any Optional Fields chosen when building the report will be included as additional columns.
