Change Requests in the PICSWeb Learner Summary

The Change Requests tab in the Learner Summary shows any changes to the learner record that have been requested by PICSWeb users who do not have the permissions to make the changes. A list of change requests for all learners can be found in the Learner Change Requests page, accessed by selecting Learners > Change Requests from the side menu. For each request, the following details are shown:

Filtering the Change Request List

The following options are available from above the list. Once you have entered the necessary details, press Enter or select the Search icon to run the search and apply your filters.

  • Sort By – Here you can use the drop-down menu to choose how the list is ordered.

  • Search – Here you can search by Name and Description.

  • Number of Records displayed

Exporting the Change Request List

Selecting More shows an option to Export to Excel. Selecting this will generate an Excel Spreadsheet containing the details currently displayed in the list.

Adding a New Change Request

Selecting Actions > Create Change Request in the change requests tab will open a window where you can record a new request. For each request, you can specify the Change Type and enter the necessary information in the Description field.

If it is necessary to upload any evidence or supporting documentation for the change, you can select the File field to browse for a relevant file to attach. This file will be available to download or delete in the Change Request Details window.

Once you have finished, select Save to confirm the request or Cancel to discard it.

 

Attaching Files with WebForms

If you are licensed to use WebForms, you can select Actions > Create Change Request WebForm to generate a new webform that, after being filled, signed and approved, will create a new change request attached to the learner.

Change Request Actions

The following actions are available from the change request tab:

  • Details – Selecting ... > Details by a request in the list will open the Change Request Details window. From here, users with the relevant permissions can Process the Change Request.

  • Edit – Selecting ... > Edit by a request in the list will open a window where you can Edit the Change Request.

  • Delete – Selecting ... > Delete by a request in the list will remove the request from the learner record. You will be prompted to confirm before the request is removed.
