Evidence in the PICSWeb Assessment Summary

The Evidence tab in the Assessment Summary shows any evidence files that support the current assessment. Any evidence uploaded here will also be available in the master Evidence list in the Learner Delivery Plan.

For each item, the following details are shown:

  • Title

  • Added date

  • Uploaded By

  • Assessment Status – This shows whether or not the evidence file has been approved yet.

  • Learner Signed

  • Off the Job Hours

  • Download – Selecting this will save a copy of the evidence file.

Filtering the Evidence List

The options to Search the evidence list by Title and filter by Number of Records are available from above the list. Once you have entered the necessary details, press Enter or select the Search icon to run the search and apply your filters.

Exporting the Evidence List

Selecting More shows an option to Export to Excel. Selecting this will generate an Excel Spreadsheet containing the details currently displayed in the list.

Uploading a New Evidence File

Selecting Actions > Upload from the top-right corner of the page will open a window where you can Upload a New Evidence File for the assessment.

Requesting Evidence

Selecting Actions > Request Evidence allows you to enter a request for an evidence file for the assessment. In the window that opens, you can enter the following details:

  • Title

  • Due date – Selecting this will open a calendar date selector.

  • Methods – You can add multiple methods to this field from the drop-down menu. Select the X icon by a method will remove it from the field.

  • Notes

Once you have entered the details, select Save to add the evidence request or Cancel to discard it. After saving, you will be taken to the Upload Evidence Wizard for the requested file.

Linking an Existing Evidence File

As well as uploading a new evidence file, you can also link an evidence file that has already been uploaded against the learner. To do this, select Actions > Link Existing from the top-right corner of the page. This will open a window displaying all existing evidence files that have been uploaded to the delivery plan. You can Search this list by evidence title.

Use the tickboxes to specify which evidence items you want to link. Once you have made your choices, select Create Links to confirm the links or Cancel to discard them.

Evidence Actions

The following actions are available from selecting the ... icon by an item in the evidence tab:

  • Summary – This will open the corresponding Evidence Summary page.

  • Edit – This will open a window where you can Edit the Evidence.

  • Delete – This will delete the evidence from the entire learner record, not only the current assessment. You will be prompted to confirm before the evidence file is deleted.
