Sending a Review for Remote Filling and Signing

This feature is only available to users licensed for either PICS Portfolio or Form Capture.

PICS Reviews can be emailed out to both learners and external contacts to have them complete certain fields and Sign the Review. This page explains how to set up reviews for remote filling and signing as well as how to email out the review once the relevant PICSWeb User has Completed it.

Sending a Review to a Learner

Learners can only be emailed a review if a Learner Account has been set up for them.

Before you can send the review out, you will first need to set up the fields that learners are allowed to fill. To do this, go to the Review Notes section of configuration.

In here, select ... > Edit by any necessary fields and make sure that Visible and Edit by Learner are switched on.

You can now request a signature by going to the Signatures tab in the relevant Review Summary. Selecting Edit here will open a window where you can set the learner as a Required signature.

After saving, the learner will be emailed with a link to fill in the specified review fields and Provide a Signature.

Sending a Review to a Contact

Contacts can only be emailed a review if the following is true:

  • An Email Address has been recorded for them in PICSWeb.

  • They have a Relationship recorded with the learner.

  • The only Role that has been set for them is Contact.

Before you can send the review out, you will first need to set up the fields that contacts are allowed to fill. To do this, go to the Review Notes section of configuration.

In here, select ... > Edit by any necessary fields and make sure that Visible and Edit by Contact are switched on.

You will next need to make sure that a Relationship Type has been set up to link the contact to the learner being reviewed. To do this, go to Relationship Types Configuration and set one up with the From Data Type set as Learner and the To Data Type set as Contact.

Finally, you will need to link the learner who is being reviewed to the contact you want to sign the review. To do this, go to the Officers tab in the Learner Summary and add the contact with the Relationship you have just set up.

You can now request a signature by going to the Signatures tab in the relevant Review Summary. Selecting Edit here will open a window where you can set the contact as a Required signature.

After saving, the contact will be emailed with a link to fill in the specified review fields and Provide a Signature.

Cancelling Review Signatures

If you need to edit a review that has already been sent out for signatures, it is possible to cancel the signature request to make the review available for editing again.

To do this, go to the Signatures tab in the relevant Review Summary, select Edit and set all the signature Status fields as Not Required. This will withdraw all signature requests and disable the signing pages that were previously sent to signatories.

The review will not be available to edit as necessary. Once you are ready to resend signature requests, return to the Edit Signatures window and set the necessary Status fields to Required as explained above.
