Contact and Learning Hours in the PICSWeb Learner Delivery Plan

The Contact and Learning Hours tab in the Learner Delivery Plan shows any contact hours that have been recorded for the learner.

The top of the tab shows the Total Contact, Total Off the Job and Average Weekly Off the Job hours for the programme so far.

Underneath, a list shows each record of contact hours being recorded. For each record, the following details are shown:

  • Date

  • Actual Hours

  • Contact Type

  • OTJ – If this is ticked, the hours were Off the Job hours.

  • Officer – Selecting this will take you to the corresponding Officer Summary page.

  • Related To – If the hours were logged as part of a different record, such as an evidence file, a link to the corresponding record summary will be shown here.

Filtering the Contact and Learning Hours List

The option to filter the hours list by Number of Records is available from above the list. Once you have entered the necessary details, press Enter or select the Search icon to run the search and apply your filters.

Along with this, the following additional fields can be added by selecting More. Selecting a field will add it to the top bar, where it works like the filter explained above.

  • Date Range

  • Officer

  • Qualification

  • Location

  • Contact Type

  • On the Job

Exporting the Contact and Learning Hours List

Selecting More also shows an option to Export to Excel. Selecting this will generate an Excel Spreadsheet containing the details currently displayed in the list.

Recording Contact and Learning Hours

Selecting Add Learning and Contact Hours in the hours tab will open a window where you can enter the following details for the record:

  • Date – Selecting this field will open a calendar date selector.

  • Time

  • Time Span – Here you can specify the amount of time that the hours cover.

  • Contact Type – As well as the default contact types, custom types can be managed in the Contact Types section of PICSWeb List and Type Configuration.

  • On Job Type – Here you can specify whether the hours were on or off the job.

  • Planned Hours

  • Actual Hours

  • Officer – A search bar is available at the top of the drop-down menu.

  • Qualification – A search bar is available at the top of the drop-down menu.

  • Location – This is the Organisation at which the contact took place. A search bar is available at the top of the drop-down menu.

  • Notes

Once you have entered the necessary details, select Save to record the hours or Cancel to discard them.

Editing Contact and Learning Hours

Selecting ... > Edit by a record in the list will open a window where you can edit the following details:

  • Date – Selecting this field will open a calendar date selector.

  • Time

  • Time Span – Here you can specify the amount of time that the hours cover.

  • Contact Type – As well as the default contact types, custom types can be managed in the Contact Types section of PICSWeb List and Type Configuration.

  • On Job Type – Here you can specify whether the hours were on or off the job.

  • Actual Hours

Contact and Learning Hours Actions

Along with adding and editing hours, the following actions are available from the contact and learning hours tab:

  • Details – Selecting ... > Details by a record in the list will open a window where you can view all details recorded for the hours. The information shown here will depend on which fields have been completed in the edit window explained above.

  • Delete – Selecting ... > Delete by a record in the list will remove the hours from the learner record. You will be prompted to confirm before the record is removed.
