Evidence Summary in the PICSWeb Portfolio for Learners

This guidance is for learners using PICSWeb Portfolio. As this system can be customised by your training provider, you may not have access to all of the areas described in this help. Please ask your training provider if you are experiencing any issues with the system.

Selecting … > Summary by an Evidence File will open the summary page for that piece of evidence.

The following details for the evidence are shown in the details box:

  • Title

  • Assessment Status

  • Download – Select this to save a copy of the evidence file to your device.

  • Added date and time

  • Methods

  • Officer – This is the member of staff responsible for the evidence.

If the evidence has been uploaded to support your Off the Job hours, a button is available here to Log Off the Job Hours.

The top of the page also displays which Version of the evidence file you are currently looking at. You can navigate between different versions using the Previous and Next buttons. For different versions, the Messages and Log will remain the same, but the information in the Linked To, Link’s Resources and Signatures tabs may be different.

The rest of the information is divided into the four tabs explained below.

Messages and Log

This tab shows any Messages and other notifications relating to the evidence. For each message, the sender and date and time of sending are shown.

You can Reply to specific messages here or send a new one by selecting New Message.

In the New Message window, you can choose which staff member the message is To, enter the Subject and Message, and attach a file if necessary. Select Send to send the message. Staff members will be notified by email when they receive a message.

Any attachments uploaded in the New Message window will Not be used as evidence files.

 

Linked To

This tab shows all of the Qualifications, Units and Scope Items that the evidence has been linked to. For each item in the list, the following details are displayed:

  • Type

  • Reference code

  • Title

  • Assessment Status

  • IQA Status

  • EQA Status

The following options are available to control what information is shown in the tab. Once you have made any changes, select the Search icon to refresh the list.

  • 100 Records – This drop-down menu allows you to choose how many items are displayed in the page.

If you want to save a copy of this list, select More > Export to Excel to save a spreadsheet version of the list to your device.

Link’s Resources

This tab shows any resources that support the items linked to the evidence file. These can take the form of links or files to download.

Selecting the icon for a resource will open the Details window, where you can view more information for the resource and either open the link or download the file. You can also select the icon to show these options without having to open the details window.

Filtering the Resource List

The following options are available to control what information is shown in the tab. Once you have made any changes, select the Search icon to refresh the list.

  • Title – Here you can search the list for a resource with a specific Title.

  • 100 Records – This drop-down menu allows you to choose how many resources are displayed in the page.

Exporting the Resource List

If you want to save a copy of this list, select More > Export to Excel to save a spreadsheet version of the list to your device.

Signatures

This tab shows any signatures that have been requested or completed for the evidence. If an hourglass icon is by your signature in the Completed column, you can select … > Preview to Provide a Signature.

For each signature, the following details are shown:

  • User

  • Requested date and time

  • Completed

Exporting the Signature List

If you want to save a copy of this list, select More > Export to Excel to save a spreadsheet version of the list to your device.
