User List in PICS

Selecting Users and Access > Users and Permissions from the Configuration section of the side menu will open the User List. The user list shows PICS users and associated details. For each user, the following details are shown:

  • Full Name

  • Email address – Selecting this will open a new email to the address in your email server.

  • Department

  • Officer Job Title

  • Officer – Selecting this will take you to the corresponding Officer Summary.

  • User Group – Selecting this will take you to the corresponding User Group Summary.

  • Last Login date and time

  • 2FA – This indicates whether the user has set up Two Factor Authentication.

  • Status – This will be either Live or Dormant.

If you have set up Learner, Applicant or Contact logins for PICS, you can also view these accounts using the Type drop-down menu at the top of the page. For each of these user types, you will be able to perform a limited version of the actions described in this page.

Filtering the List

The following searching and filtering options are available by default above the list. Once you have entered the necessary details, press Enter or select the Search icon to run the search and apply your filters.

  • Search – Here you can search by user Name, User Name, and Email.

  • User Type – Here you can filter the list to Users as well as LearnerApplicantEmployerGroup or System users.

  • My Record – If this is ticked, only your user account will be displayed.

  • Number of records – Here you can use the drop-down menu to choose how many results are displayed per page.

Along with these, additional fields can be added by selecting More. Choosing a field will add it to the top bar, where it works like the filters explained above. The following fields are available:

  • SaaS User Type

  • Department

  • Officer Job Title

  • Is Supervisor – This will show only users with supervisor status.

  • Status

  • Permissions

  • Sites

  • Temporary Account – This will restrict the list to Temporary Access Users only.

Exporting the List

Selecting More also shows an option to Export to Excel. Selecting this will generate an Excel Spreadsheet containing the details currently displayed in the list.

User Actions

Selecting the Actions button at the top-right of the screen will show the following options:

  • Create User – This will open the New User window.

  • Create Group – This will open the New User Group window.

  • Create API User – This will open a window where you can enter the Name for a new API user.

  • Idle Time Out Setting – Here you can specify the Session Timeout limit for PICS users.

  • Notification Message – Here you can configure a Notification Message to be displayed across PICS for all users.

  • Temporary Pellcomp Access – Here you can set up a Temporary Access User for software support purposes.

Selecting the ... icon by a user in the list will give the following options:

  • Summary – This will open the corresponding User Summary page.

  • Edit – This will open a window where you can Edit the User.

  • Edit Permissions – This will open a window where you can grant and withdraw User Permissions.

  • Delete – You will need to confirm your choice before you can delete the user.
