Course Enrolments in PICSWeb

Each Course will have a list of enrolments, referring to the learners or applicants enrolled on the course. Once someone has been linked as an enrolment, you can then begin to Record Attendance for them for each Course Session.

Batch Enrolling on a Course

Selecting ... > Enrol People by a course in the Course List, or selecting Create Enrolment in the Enrolments tab in the Course Summary, will open the Batch Enrol window, where you can link multiple learners or applicants onto the course. 

The Batch Enrol window contains a list of available records. You can use the tickboxes to choose which records you want to be included in the enrolment process.

Filtering the List

The following searching and filtering options are available by default above the list. Once you have entered the necessary details, press Enter or select the Search icon to run the search and apply your filters.

  • Type – Here you can choose whether the list displays Learners or Applicants.

  • Record Name – Here you can search by the name of the learner or applicant.

  • Tags

  • Status

  • Programme – This filter is only available if you are searching for Learners.

  • Number of records – Here you can use the drop-down menu to choose how many results are displayed in the results list.

Along with these, additional fields can be added by selecting More. Choosing a field will add it to the top bar, where it works like the filters explained above. The following fields are available:

  • Status

  • Site

  • Qualification Plan

  • Qualification

  • Unit

Exporting the List

Selecting More also shows an option to Export to Excel. Selecting this will generate an Excel Spreadsheet containing the details currently displayed in the list.

Setting Enrolment Dates

Three date fields are available to set dates for the enrolled records. Selecting each field will open a calendar date selector. The following dates are available to specify:

  • Enrolment Date

  • Enrolment Start – If the course is a Roll On/Roll Off course, this will be set by default to the date of the next Session. If no future sessions can be found, it will be set to the current date.

  • Enrolment End – If the course is a Roll On/Roll Off course, this will be set by default to the date of the next Session. If no future sessions can be found, it will be set to the current date.

Finishing Enrolment

Once you have chosen your records and specified your enrolment dates, select Enrol to finish. If any clashes are found with sessions already linked to your chosen records, you will be informed. You can either Close and make the necessary changes, or tick the Accept Session Conflicts? box and select Enrol again.

A message will be shown in the top-right of the page when the enrolment process has finished successfully.

Editing Enrolments

To edit an enrolment, open the relevant Course Summary page and open the Enrolments tab. In there, find the relevant enrolment and select ... > Edit. Once you have made your changes, you can either select Save to apply them or Cancel to abandon them.

The following fields are available to edit:

  • Enrolment Date – Selecting this field will open a calendar date selector.

  • Enrolment Start – Selecting this field will open a calendar date selector.

  • Enrolment End – Selecting this field will open a calendar date selector.

  • Status – The following statuses are available:

    • Active

    • Withdrawn during Course

    • Failed to Start

    • Cancelled before Start

    • Completed

Deleting an Enrolment

To delete an enrolment, open the relevant Course Summary page and open the Enrolments tab. In there, find the relevant enrolment and select ... > Delete.

You will be asked to confirm that you want to delete the enrolment record. Select Yes to confirm.
