The Earnings Adjustment Statement page in the Month End section of PICSWeb displays any adjustments that have been recorded for your learner funding claims.

For each adjustment in the list, the following details are shown:

• Period – This is the funding period in which the adjustment takes place.

• UKPRN

• Funding Line

• Adjustment Type

• Calendar Year/Month

• Devolved Source of Funding (SOF)

• Calculated Value – This is the original funding claim for the Period, UKPRN and Funding Line, as according to the Funding Calculator.

• Adjustment Value – This is the positive or negative change made to the Calculated Value by the current adjustment.

• Total Value – This is the final value that will be used in the claim, made up of the sum of the Calculated and Adjustment values.

Filtering the List

The following searching and filtering options are available by default above the list. Once you have entered the necessary details, press Enter or select the Search icon to run the search and apply your filters.

• Number of records – Here you can use the drop-down menu to choose how many results are displayed per page.

Exporting the List

Selecting More also shows an option to Export to Excel. Selecting this will generate an Excel Spreadsheet containing the details currently displayed in the list.

Adjustment Details

Selecting … > Details by an item in the list will allow you to view the details of the adjustment. The following details are available:

• UKPRN

• Devolved Source of Funding

• Funding Line

• Adjustment Type

• Calendar Year

• Calendar Month

• Adjustment Value – This is the positive or negative change made to the Calculated Value by the current adjustment.

• Calculated Value – This is the original funding claim for the Period, UKPRN and Funding Line, as according to the Funding Calculator.

• Total Value – This is the final value that will be used in the claim, made up of the sum of the Calculated and Adjustment values.

• Notes

The Learners Included in Calculated Value section lists all learner records that have been included in the funding calculations that make up the Calculated Value. The learners in this list will be enrolled on a programme whose duration and specifications meet the details for the adjustment specified above. It is also possible to view adjustment details for individual learners in the Earnings Adjustment Statement tab in the Learner ILR Summary.

For each learner, the following details are shown:

• Learner Reference Number

• PICS Ident

• Reason

• Value – The sum of all values in this list should equal the Calculated value.

Adjustment Actions

Selecting Actions > Create will open a window where you can Add a New Adjustment.

Selecting Actions > Export CSV will open a window where you can Generate the Earnings Adjustment Statement Export File.

The following actions are available from selecting the … icon by an adjustment in the list:

• Details – This will open the details window explained above.

• Edit Adjustment – This will open a window where you can Edit the Adjustment.
