WebForm Signatures in PICSWeb

Selecting the Form Signatures tile in the Tiles page, or Forms > Form Signatures from the side menu, will open a list of WebForm Signatures needing your attention. This page shows any signatures which have been linked to your user account.

For each signature, the following details are shown:

  • Title – This is the title of the WebForm Instance you need to sign.

  • Form Template – This is the WebForm Template that the instance is based on.

  • Signature Type – This is the role for which you have been asked to sign the form.

  • Signature Status – This shows whether or not your signature has been recorded yet. If the status is Pending but not yet Ready to Sign, you may need to wait for other users to sign first before you can, according to the chosen signature order.

Filtering the List

The following searching and filtering options are available by default above the list. Once you have entered the necessary details, press Enter or select the Search icon to run the search and apply your filters.

  • Search – Here you can search by form Title and ID.

  • Ready to Sign – If this is ticked, only forms with the status Ready to Sign will be shown.

  • Signature Type

  • Form Template

  • Number of records – Here you can use the drop-down menu to choose how many results are displayed per page.

Exporting the List

Selecting More shows an option to Export to Excel. Selecting this will generate an Excel Spreadsheet containing the details currently displayed in the list.

Signature Preview

Selecting … > Preview by a signature will open the preview window, which displayed the following additional details:

  • Form Title

  • Signatory Type

  • Signatory Email Address

  • Created On date and time

  • Signed On date and time

  • Signature – If the signature has been completed, an image of the signature and a watermark will be shown here.

Completing Signatures

If a signature has the status Ready to Sign, select … > Fill and Sign to open a new tab where you can Fill and Sign the WebForm.
