Creating a New Workflow Action in PICSWeb

This section is only available if you have the Workflows licence. Please Get in Touch if you are interested in using this feature.

Selecting Add Post Action in the Actions tab will open the new action process.

In the first step, you will need to specify the following details:

  • Title

  • Action Type – This controls what kind of action will take place.

The rest of the process will depend on which Action Type you choose. Each type, and how to set it up, is explained in the Workflow Action Codes page.

If you are creating an action for an Appointment, you will be able to choose between impacting the appointment record or the record for the first learner that is linked to the appointment. Action types that look at the learner record will have Learner at the beginning of the type name.

Once you have entered the details, select Save to continue. The rest of the process will depend on the Action Type you have chosen, though all take place in some version of the process shown below.

In this process, you can use the Back and Next buttons to navigate between each step. You can also select Cancel at any point to return to the Actions tab. As you have already saved the action, it will be added to the list, but with the Status set to Incomplete. You can select … > Edit by any incomplete actions to return to the process above and finish creating them.

Once finished, the action will be added to the list with the Status set to Active.
