New Learners in PICS Learner Section Configuration

The New Learners tab in Learner Section Configuration contains the following settings for Creating a New Learner:

  • Prefix for Learner Reference Number – Here you can specify a prefix up to 6 characters to add to the Learner Reference Number for all new learners.

  • Prefixed Learner Reference Numbers are non-sequential

  • Withhold New Learners from ILR Export – If this is switched on, all new learners will have their ILR Export Status set to Withheld by default. This status can be changed in the learner’s PICS Episode Start tab in their ILR Summary.

  • Copy Applicant Course Enrolment to New Learners – If this is switched on, any learner who have been Created from an Applicant Record will have all the applicant’s Course Enrolments copied into the Courses tab in their Delivery Plan. Only Enrolments with a Start Date on or after the learner's start date will be carried over.

  • Action to take with Applicant Files – Here you can specify what happens to Files attached to an applicant record when that applicant is Transferred to a Learner Record.

  • Allow new episodes for FM35 Framework Apprenticeship and Trailblazer Programmes – If this is switched on, you will be able to create new learner episodes for the FM35 programme.

To make any changes, select Settings. Once you have made your changes, select Save to confirm them or Cancel to discard them.
