Validation in the PICSWeb Workflow Transition Summary

This section is only available if you have the Workflows licence. Please Get in Touch if you are interested in using this feature.

The Validation tab in the Workflow Transition Summary lists all of the validation checks that are made before a workflow transition can be Enacted. Depending on the severity chosen for the validation, users may be presented with a warning and allowed to continue or presented with an error and prevented from changing the status.

For each validation, the following details are shown:

  • Title

  • Validation Code – This indicates what value will be checked and what, if any, value it will be compared against. The different codes and how they work are explained in Workflow Validation Codes.

  • Validation Type – This indicates whether the user will be shown a Warning or Error message if the validation fails. If it is an Error message, the user will not be able to Enact the Status Transition.

  • Status – This indicates whether the validation is Active or Incomplete. Only Active validations will run.

Filtering the Validation List

The option to search by validation Title is available above the list. Once you have entered the necessary details, press Enter or select the Search icon to run the search.

Along with these, additional fields can be added by selecting More. Choosing a field will add it to the top bar, where it works like the filters explained above. The following fields are available:

  • Validation Type

  • Validation Code

Exporting the List

Selecting More also shows an option to Export to Excel. Selecting this will generate an Excel Spreadsheet containing the details currently displayed in the list.

Validation Actions

Selecting Add Validation Rule will open a window where you can Create a New Workflow Validation.

Selecting the icon by a validation will show the following options:

  • Edit – This will re-open the New Validation process for you to edit any details.

  • Delete – You will be prompted to confirm before the validation is deleted.
