Jobs in the PICSWeb Participant Programme Summary

The guidance in this page is only for customers using PICS for Employability.

The Jobs tab in the Participant Programme Summary shows any jobs linked to the participant during their programme. For each job, the following details are shown:

  • Title

  • Employer – Selecting this will take you to the Organisation Summary for the employer.

  • Type of employment

  • Start date

  • End date

Filtering the Job List

The option to filter by Number of Records shown is available by default above the list. Once you have entered the necessary details, press Enter or select the Search icon to run the search and apply your filters.

Exporting the Job List

Selecting More also shows an option to Export to Excel. Selecting this will generate an Excel Spreadsheet containing the details currently displayed in the list.

Adding a New Job

Selecting Create Job in this tab will open a window where you can enter the following details:

  • Title

  • Vacancy Application – You can search this field to link the job to the corresponding Vacancy Application.

 

Once you have finished, select Save to add the new job or Cancel to discard it. After saving, you will be taken to the edit window, where you can view and edit further details, as explained below.

You can also select Save > Save and Close to add the job and return to the tab without editing.

Editing Jobs

Either saving a new job or selecting ... > Edit by one in the list will open the Edit Job window. Here you can enter and amend the following details:

  • Title

  • Type – Here you can specify the type of employment.

  • Contract Type

  • Employer – Here you can search for an Organisation to link as the Employer.

  • Contact – Here you can search for an Officer to link as the main Employer Contact.

  • Expected Start date – Selecting this field will open a calendar date selector.

  • Start date – Selecting this field will open a calendar date selector.

  • Expected End date – Selecting this field will open a calendar date selector.

  • End date – Selecting this field will open a calendar date selector.

  • Employee Reference

  • Evidence Requested date – Selecting this field will open a calendar date selector.

  • Evidence Received date – Selecting this field will open a calendar date selector.

  • SOC – Here you can search for the appropriate Standard Occupational Classification (SOC) code for the job.

  • Hours

  • Hours Description

  • End Reason

  • Can Contact Employer

  • Provider Verified with Participant – Here you can specify by what communication method the provider was verified with the participant.

  • Provider Verified with Participant Note – Here you can add any supporting notes for the verification method above.

  • Provider Verified with Employer – Here you can specify by what communication method the provider was verified with the employer.

  • Provider Verified with Employer Note – Here you can add any supporting notes for the verification method above.

  • Is Wage Incentive

  • Wage Incentive Sent date

Any User Defined Form Fields for Jobs will also be available in this window.

Once you have made your changes, select Save to confirm them or Cancel to discard them.

Job Actions

The following actions are available by selecting the icon by a job in the list:

  • Edit – This will open the edit window, as explained above.

  • Details – This will open a window showing all the details recorded for the job in the edit window.

  • Delete – This will remove the job from the participant record. This should only be done if the job was entered in error. If it has ended, you should record the End Date and the other necessary information. You will be asked to confirm before the job is removed.
