Participant Jobs Report in PICSWeb

The guidance in this page is only for customers using PICS for Employability.

The Participant Jobs Report produces a list of Jobs that are linked to Participants that meet the specified criteria.

Report Options

The following customisation options are available:

  • Participants Report Type – This controls which date is used in the participant record to determine whether jobs for that participant will be included.

    • Choosing On Programme Between Dates will include any participants whose programme overlaps with the date range.

    • Choosing Starters Between Dates will include any participants whose Start Date falls within the date range.

    • Choosing Leavers Between Dates will include any participants whose Actual End Date falls within the date range.

    • Choosing Created Between Dates will include any participants whose Created Date falls within the date range.

    • Choosing Action Plan Agreed will include any participants whose Action Plan Agreed date falls within the date range.

    • Choosing All will include any participants where any of the dates above fall within the date range.

  • Participants From and To – Here you can specify the date range that will determine which participants are included in the report. You can either choose a Fixed Date and choose the relevant dates from the calendar date selector, or choose one of the relative values such as TodayStart of WeekStart of Month or others. If you choose a relative value, it is possible to add a positive or negative Offset value, which will adjust the date by the specified number of weeks. For example, choosing End of Week with a +1 Weeks Offset value will run the report from the end of the next week.

  • Report Type – This controls which date is used in the job record to determine whether the job is included in the report. You can choose either On Job Between Dates, Started Job Between Dates, Ended Job Between Dates, or All, which will include every job for each participant.

  • Jobs From and To – Here you can specify the date range that will determine which jobs are included in the report. This works the same way as the Participants From and To explained above.

  • Participant Status – Here you can restrict the report to participants with specific statuses. Choosing a status from the drop-down menu will add it to the field. You can add multiple statuses to the field and remove any added ones by selecting the X icon.

  • Participant Tags – Here you can restrict the report to participants with specific Tags. Choosing a tag from the drop-down menu will add it to the field. You can add multiple tags to the field and remove any added ones by selecting the X icon. The following tag options are available:

    • Any – This will restrict the report to jobs for participants that have at least one of the specified tags.

    • All – This will restrict the report to jobs for participants that have every specified tag.

    • None – This will restrict the report to jobs for participants that do not have any of the specified tags.

  • Sites – Here you can restrict the report to participants linked to specific Sites. Choosing a site from the drop-down menu will add it to the field. You can add multiple sites to the field and remove any added ones by selecting the X icon.

  • Contract – Here you can restrict the report to participants linked to a specific Contract.

  • Programme – Here you can restrict the report to participants enrolled on a specific programme.

  • Funding Organisation – Here you can restrict the report to participants associated with a specific funding organisation.

  • Past Expected End – If this is ticked, only participants that have passed their Expected End Date will be included.

Report Output

The participant jobs report consists of a single sheet listing all matching job records. For each job, the linked participant’s Ident, First Name and Surname will also be shown, as well as any Optional Fields you have chosen when building the report.
