The Offices tab in the Organisation Summary shows any other organisations that have the current organisation linked as their Head Office. For each office, the following details are shown:
- Risk Band
- Name – Selecting this will take you to the corresponding Organisation Summary page.
- Postcode
- Email address – Selecting this will open a new message to the office in your webmail server.
- Phone Number
- Main Contact – Selecting this will open the corresponding Officer Summary page.
- Status – This will be either Live or Dormant.
Filtering the Office List
The following filtering options are available above the office list. Once you have entered the necessary details, press Enter or select the icon to run the search and apply your filters.
- Sort By – Here you can use the drop-down menu to choose how the list is ordered.
- Search – Here you can search by organisation Name and ID.
Tags – Selecting the Search... box will open a drop-down menu where you can add multiple Tags to search by. The following search options are available:
- Any – This will filter the list to records that contain at least one of the specified tags.
- All – This will filter the list to records that contain every specified tag.
- None – This will filter the list to records that do not have any of the specified tags.
- Role
- Number of Records displayed
Along with these, additional fields can be added by selecting More. Choosing a field will add it to the top bar, where it works like the filters explained above. The following fields are available:
- Status
- Site
- Phone Numbers
- Risk
- Is New
- Postcode
Exporting the Office List
Selecting More shows an option to Export to Excel. Selecting this will generate an Excel Spreadsheet containing the details currently displayed in the list.
Linking a New Office
It is not possible to link a new office from the head office organisation summary. Instead, you will need to find the organisation you wish to link as an office, and enter the head office organisation to the Head Office field in the Organisation Edit Window. When you return to the head office organisation summary, the office organisation will be displayed in the office list.
Office Actions
The following actions are available from the offices tab:
- Summary – Selecting ... > Summary by an office in the list will open the corresponding Organisation Summary.
- Edit – Selecting ... > Edit by an office in the list will open a window where you can Edit the Organisation.
- Delete – Selecting ... > Delete by an office in the list will delete the organisation record from your database. You will be prompted to confirm before the organisation is deleted. If you only want to remove the organisation as an office, that can be done by removing the head office in the organisation's edit window, as explained above.
