The Learner Configuration page in Sections Configuration covers various settings related to learner entry and management. The page is made up the three tabs explained in the pages linked below.

In each section, selecting Settings will open a window where you can make any necessary changes. Once you are finished, select Save to confirm your choices or Cancel to discard them.

Field Labels

This tab allows you to rename certain entities in PICS to match the terms used by your organisation. The system name for each entity is shown in bold with your custom name underneath. The following entities are available to rename:

• Learner – This will control what name is used to refer to your Learner Records throughout PICSWeb.

• Provider Assigned ID – This field is held in the learner record and can be entered when Editing the Learner.

• Custom Provision 1 – This is a Type used to categorise Provisions held against a learner.

• Custom Provision 2 – This is a Type used to categorise Provisions held against a learner.

• Custom Provision 3 – This is a Type used to categorise Provisions held against a learner.

New Learners

This tab contains the following settings for Creating a New Learner:

• Prefix for Learner Reference Number – Here you can specify a prefix up to 6 characters to add to the Learner Reference Number for all new learners.

• Prefixed Learner Reference Numbers are non-sequential

• Withhold New Learners from ILR Export – If this is switched on, all new learners will have their ILR Export Status set to Withheld by default. This status can be changed in the learner’s PICS Episode Start tab in their ILR Summary.

• Copy Applicant Course Enrolment to New Learners – If this is switched on, any learner who have been Created from an Applicant Record will have all the applicant’s Course Enrolments copied into the Courses tab in their Delivery Plan.

Validation

This tab contains the following settings for Learner Validation:

• Error level for blank Contact Methods – This controls whether an Error, Warning, or No message is shown if the Contact Method fields in a learner record are left blank. If an Error message is received, a learner will not be able to pass validation.

Portfolio

This tab contains the following settings for PICSWeb Portfolio:

• Default Required Score – Here you can set the default Score for a delivery item that the Evidence items linked to it will have to meet before evidence requirements are complete.

• Learner Added Contact Hours are Trusted – If this is set to Yes, any Contact Hours that are added by Learner Users will be automatically included in overall contact hour counts.

• Show Learners at Contact’s Main Organisation – If this is set to Yes, all learners linked to a contact’s main organisation will be available in the contact login’s learner list.

• Show Learners With Relationship – If this is set to Yes, all learners with a Relationship to a contact will be available in the contact login’s learner list.

• IQA Component Default Owner – Here you can specify which of the learner’s Officer Relationships will be used as the default owner of any /wiki/spaces/POH/pages/3130097665 that are added to the learner’s Delivery Model.
