Logging Off the Job Hours from Session Attendance in PICSWeb

For this to work, you will need to have set Default Guided Learning Hours for the session in the Edit Window.

You can use the GLH data from a session attendance record to inform the Off the Job hours logged in a learner’s Contact and Learning Hours tab.

To do this, first either use the default GLH value when Recording Attendance for the session or enter a new value in the Override GLH field.

After you have saved the attendance values, you can create the OTJ hours from the session from one of two locations:

  • Selecting … > Create OTJ Hours by a session in a session list.

  • Selecting Actions > Create OTJ Hours from the Attendance tab of a Session Summary.

This will open the window shown below, which lists all learners with an attendance value recorded for the session. For each learner, the following details are shown:

  • Name – Selecting this will open the Contact and Learning Hours tab for the learner.

  • Attended value

  • Session GLH – This will display either the defaulted or override GLH value entered when recording attendance.

  • OTJ Hours – By default, the value in the Session GLH column will be used to define the OTJ hours that are created. However, if necessary you can enter a custom OTJ Hours value here.

To create OTJ hours, use the tickboxes to choose which learners you want to apply the hours to and select Save. The hours will then be recorded in their Contact and Learning Hours tab.

As this window shows learners with all attendance values for the session, make sure that you are not ticking any learners who were not actually present.
