WebForm Types in PICSWeb

Several different options are available for the Form Type when Creating a New WebForm. The type chosen will affect the both the data in PICSWeb that is populated from the form and what fields are available to add to the form in the WebForm Builder.

Any types in the list below with a link attached to the type name have their own dedicated pages for setting up and using WebForms of that type.

The following types are available:

  • Learner – These forms are used to capture the details of a new learner. When the form is approved, a new learner record is created, populated with the data submitted in the form. Learner forms can also be Generated From an Applicant Record to sign up an existing applicant as a new learner.

  • Learner Change Request – These forms are used to request a change to be made in a learner record. When the form is approved, a new Change Request record will be generated, which can then be processed and actioned by an authorised user.

  • Learner File – These forms are attached as a document to the Files tab in the Learner Summary. They are intended to be used to capture and attach the relevant paperwork to a learner and do not populate any data fields in the record.

  • Applicant – These forms are used either to capture the details of a new applicant or Update an Existing Applicant.

  • Applicant File – These forms are attached as a document to the Files tab in the Applicant Summary. They are intended to be used to capture and attach the relevant paperwork to an applicant and do not populate any data fields in the record.

  • Organisation File – These forms are attached as a document to the Files tab in the Organisation Summary. They are intended to be used to capture and attach the relevant paperwork to an organisation and do not populate any data fields in the record.
