Selecting Add Validation Rule in the Validation tab will open the new validation process.

In the first step, you will need to specify the following details:

  • Title

  • Validation Severity – Here you can choose whether the user will be shown a Warning or Error message if the validation fails. A warning will allow the user to continue with the status transition, while an error will prevent them from enacting it.

  • Validation Code – This controls what check is run to validate the transition.

The rest of the process will depend on which Validation Code you choose. Each code, and its impact on the new validation process, is explained in the Workflow Validation Codes page.

If you are creating a validation rule for an Appointment, you will be able to choose between validating the appointment record or the record for the first learner that is linked to the appointment. Validation codes that look at the learner record will have Learner at the beginning of the code name.

Once you have entered the details, select Save to continue. The rest of the process will depend on the Validation Code you have chosen, though all take place in some version of the process shown below.

In this process, you can use the Back and Next buttons to navigate between each step. You can also select Cancel at any point to return to the Validation tab. As you have already saved the validation, it will be added to the list, but with the Status set to Incomplete. You can select … > Edit by any incomplete validations to return to the process above and finish creating them.

Once finished, the validation will be added to the list with the Status set to Active.
