Starting a Learner's End Point Assessment (EPA) in PICSWeb
Once your learner is ready to begin their End Point Assessment (EPA), a tool is available in PICSWeb to end the necessary aims and put the learner onto their EPA period. This feature is only available to learners on Apprenticeship Standards.
To start the learner’s EPA, go to their ILR Summary and select Actions > Start End Point Assessment.
This will open a window where you can enter the following EPA details:
Last Day in Learning – Selecting this will open a calendar date selector. The date entered here will be applied to all live ILR aims (shown at the bottom of the window), although it can subsequently be amended in the Start and End tab in the individual Learning Aim Summaries.
Actual Hours for Off the Job Training – This is applied only to the programme aim.
End Point Assessment Organisation – Here you can choose from a searchable list of Organisations with the Role EPA Organisation set. This is also applied only to the programme aim.
The window will also show any aims that will be affected when you end the learner.
Any user-defined programme end fields will also be shown in this window, indicated by an Edit icon.
Selecting Save will run the following processes.
All live ILR Component Aims will be finished with the Completion Status set to 2: Completed Learning Activities and the Outcome set to 1: Achieved.
The most recent ILR Programme Aim will be finished with the Completion Status set to 1: Continuing Learning Activities and the Outcome set to 8: Not Yet Known.
Any ILR aims starting after the Last Day in Learning specified in the window or non-ILR aims will be unaffected.
Episode end details will be unaffected.
