Adding a New Contract


Selecting Add Contract from the Contracts page will open the Contracts Entry window shown below.


In this window, you can enter the following details. Required fields are marked with an *.

  • Contract/Relationship Type – Here you can choose the type of contract, or relationship type, depending on the contract being entered. The following three types are available:
    • Direct – This is for your company's direct contract with the ESFA, if one exists. For direct contracts, the other details in the list will refer to your own company.
    • Subcontractor/Partner – This is for a subcontractor company delivering training on your behalf. You can have multiple subcontractors.
    • Prime – This is for a contract head company on whose behalf you are delivering training. You can have multiple primes.
  • Name – This is either your company name, for a direct contract, or the name of your subcontractor or prime company.
  • Address 1 to 5 – This is the address of the company named above.
  • Postcode – This is the postcode of the company named above.
  • Contract UKPRN – This is the UKPRN of the contract head, under which data is submitted to the ESFA. For direct or subcontractor contracts, this will be your UKPRN. For a prime contract, this will be the prime company's UKPRN.
  • Partner UKPRN – This is the UKPRN of the partner company. Subcontractor contracts, this will be the subcontractor company's UKPRN. For a prime contract, this will be your UKPRN. This field will not show for a direct contract as there will be no partner company involved.
  • We require ILR data conversion – Ticking this tells us that you require ILR data to be imported in to PICS for this contract, which may incur additional charges.
  • We require Non-ILR data conversion – Ticking this tells us that you require Non-ILR data to be converted into PICS for this contract, which will incur additional charges.
  • Programmes – This tells us which programmes of learning you require for this contract. You can tick as many programmes as necessary.

When in the Implementation form, clicking on any of the contract pop-up section headers will reveal more information about what is required for that section. For example, selecting Contract/Relationship Type will display:


The following options are available at the bottom of the window:

  • Keep open to add multiple contracts – Tick this to have the window stay open after you select Add Contract, allowing you to add another contract to the list.
  • Add Contract – Select this to add the contract to the list.
  • Cancel – Select this to cancel the entry of the contract.
