Selecting the ... icon next to a Course Instance and selecting Summary will open the Course Instance Summary page. The name of the course instance will be temporarily added to the side menu, meaning that you can quickly return to the record if you navigate away from it.

The following details are shown for the course instance:

  • Title
  • Course Type – Course Types are maintained in the Configuration section.
  • Instance Type – This will be either Fixed Start Date or Roll-On Roll-Off.
  • Status – This will be either Live or Dormant.
  • Start date
  • End date
  • Seats – This indicates how many places are available in total. Selecting the  icon will open a graph displaying how many places have been filled through time.

The remaining details for the course instance are divided into three tabs: SessionsEnrolments, and Files.

Sessions

The Sessions tab lists all individual sessions that make up the Course Instance. For each session, the following details are shown:

  • Date
  • Day of the Week
  • Time
  • Tutor
  • Room – Selecting this will take you to the corresponding Room Summary page.
  • Number of Files Attached – Selecting the  icon will take you to the Files section of the Session Summary, where you can download any files as necessary.
  • Flag – If the session has been flagged for any reason, this will be shown here. Session flags are maintained in the Session Flag Configuration page.

Filtering the Session List

The following searching and filtering options are available by default above the list. Once you have entered the necessary details, press Enter or select the  icon to run the search and apply your filters.

  • Starts From date
  • Ends Before date
  • Number of sessions displayed

Along with these, additional fields can be added by selecting the  icon. Choosing a field will add it to the top bar, where it works like the filters explained above. The following fields are available:

  • Session ID
  • Whether the session is running today

Exporting the Session List

Selecting the  icon also shows an option to Export to Excel. Selecting this will generate an Excel Spreadsheet containing the details currently displayed in the list.

Session Actions

The following actions are available from the sessions tab:

Enrolments

This tab displays all the learners who have been enrolled onto the course. Selecting Create Enrolment will open the Batch Enrol window.

For each enrolment in the list, the following details are shown:

  • Record name
  • Enrolment Date
  • Start Date
  • End Date
  • Status

You can also select ... > Edit to Edit the Enrolment or Delete to delete it. You will be asked to confirm that you want to delete the enrolment record. Select Yes to confirm.

Files 

This tab displays any files attached to the course instance.
